These Terms & Conditions (“Terms”) apply to all bookings of Mean Beats (“the Band”, “we”, “our”). By confirming any booking, the client (“Client”, “you”, “your”) agrees to be bound by these Terms.

 

1.Booking & Contract Formation 

 

1.1 A booking becomes confirmed when:

  • The Band issues written confirmation (email is acceptable), AND
  • The agreed deposit or booking fee has been paid.

 

1.2 The individual making the booking must be at least 18 years old and legally responsible for all payments, instructions, and obligations.

 

1.3 Any agreements or changes must be made in writing (email acceptable).

 

2.Payment Terms

 

2.1 Deposit:

A non-refundable deposit of [insert amount/percentage] is required to secure the date.

 

2.2 Balance:

The remaining balance must be paid:

  • No later than [X days/weeks] before the event, unless otherwise agreed in writing.

 

2.3 Payment Methods:

Accepted methods include bank transfer, debit/credit card, or other approved methods.

 

2.4 Failure to make payments on time may result in cancellation without refund of the deposit.

 

3.Performance Details

 

3.1 Standard performance includes:

  • Short breaks between sets,
  • Professional sound and lighting equipment (unless otherwise agreed).

 

3.2 The Band will arrive [X hours] before the event start time to set up and soundcheck.

 

3.3 Background or interval music (Spotify playlist, DJ-style tracks) may be provided at no extra cost (unless otherwise specified).

 

3.4 Requests for special songs (first dance or specific covers) must be submitted at least [X weeks] before the event.

Some requests may incur an additional rehearsal fee.

 

4.Client Responsibilities

 

4.1 Performance Area:

The Client must provide:

  • A safe, covered, and stable area suitable for live performance,
  • Minimum space of [insert dimensions],
  • Adequate ventilation and lighting.

 

4.2 Power Supply:

  • A minimum of 2 x 13A sockets on separate circuits,
  • Safe, reliable electricity within 10 metres of the stage area.

 

4.3 Parking & Access:

  • Sufficient parking close to the venue for unloading,
  • Clear access for transporting equipment,
  • Assistance from venue staff where necessary.

 

4.4 Licences & Permissions:

The Client must ensure:

  • The venue holds the appropriate entertainment licences,
  • Any noise restrictions or sound limiters are communicated before booking.

 

4.5 Hospitality:

The Client must provide drinking water for all band members.

Hot meals should be provided for events exceeding 3 hours including setup.

 

5.Health, Safety & Conduct

 

5.1 The Client is responsible for the behaviour of guests, staff, and attendees.

 

5.2 The Band may stop a performance if there is:

  • Aggressive or dangerous behaviour toward performers,
  • Unsafe performance conditions,
  • Risk of damage to equipment,
  • Interference with electrical equipment.

 

5.3 No refunds will be given if the Band stops performing for safety reasons caused by the Client or guests.

 

6.Equipment, Sound Levels & Venue Restrictions

 

6.1 The Band uses professional PAT-tested equipment and carries Public Liability Insurance.

 

6.2 Sound limiters or restrictions must be disclosed before booking.

Excessively restrictive limiters may affect performance quality.

 

6.3 If a limiter cuts power and risks damaging equipment, the Band may pause or cease the performance until safe conditions return.

 

6.4 No refunds will be issued for interruptions caused by venue restrictions or sound limiters.

 

7.Changes to Booking

 

7.1 Changes to date, time, venue, or performance length must be agreed in writing.

 

7.2 The Band is not obligated to accept changes that create scheduling conflicts or additional costs.

 

7.3 If required, the Client may be charged for extended performance time, early arrival, relocation of equipment, or additional services.

 

8.Cancellations

 

8.1 Client Cancellation

If the Client cancels:

  • The deposit is non-refundable.
  • If cancelled within [X weeks] of the event: [X%] of the remaining balance is due.
  • If cancelled within [X days] of the event: 100% of the total fee is due.

 

9.Delays & Overruns

       

      9.1 If the event runs late due to the Client or venue, the performance may be shortened to comply with curfews and schedules.

       

      9.2 Additional performance time may be available at an extra cost, subject to the Band’s schedule and venue restrictions.

       

      10.Damage to Equipment

         

        10.1 The Client is responsible for any damage caused to the Band’s equipment by guests, staff, or attendees.

         

        10.2 Repair or replacement costs will be invoiced to the Client.

         

        11.Photography & Promotion

         

        11.1 The Band may take general photos or short video clips of their performance for promotional use, unless the Client requests otherwise in writing before the event.

         

        11.2 The Band will not share identifiable images of guests without consent.

         

        12.Liability

         

        12.1 The Band is not liable for:

        • Technical issues caused by venue equipment,
        • Delays caused by third parties,
        • Consequential or indirect losses,
        • Weather conditions affecting outdoor performances.

         

        12.2 The Client is responsible for ensuring suitable cover and power for outdoor bookings.

         

        12.3 Nothing in these Terms affects statutory consumer rights.

         

        13.Force Majeure

         

        The Band is not liable for failure to perform due to circumstances outside their control, including:

        • Extreme weather
        • Illness or injury
        • Vehicle breakdowns
        • Power failure
        • Venue closure
        • Natural disasters
        • Strikes or travel disruption

         

        Refunds in such circumstances will be handled fairly and proportionally.

         

        14.Governing Law

         

        These Terms are governed by the laws of England and Wales.

        Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
